Purpose of the role
- The Office Administrator is responsible for delivering a professional, welcoming, and efficient front-office service while providing administrative support to ensure smooth day-to-day operations of Red Fox Create. The role acts as the first point of contact for visitors and callers, manages reception duties, and assists with various clerical and administrative tasks.
Qualifications and Experience
- Grade 12 / Matric (minimum requirement).
- Certificate or diploma in Office Administration (advantageous).
- 3+ years’ experience in a reception or administrative role.
- Computer literacy: MS Office (Word, Excel, Outlook) essential.
- Experience in a customer-facing environment preferred.

Key Role Outputs
Front Desk & Customer Service
- Welcome and assist visitors in a friendly and professional manner.
- Manage visitor sign-in procedures and issue access cards when applicable.
- Answer, screen, and direct incoming calls promptly and courteously.
- Handle general enquiries and provide accurate information to customers, clients, and staff.
- Maintain a clean, organised, and presentable reception area.
- Visitor inductions as per ISO specifications
Administrative Support
- Perform general office duties including filing, scanning, photocopying, and data entry.
- Assist with the preparation of documents, correspondence, and reports.
- Manage incoming and outgoing mail and courier services.
- Monitor and order office stationery and consumables.
- Assist HR or Management with logistical arrangements for meetings, inductions, or interviews.
- Manage travel arrangements for the Senior Leadership Team
Meeting & Office Co-ordination
- Book and prepare meeting rooms (cleanliness, setup, refreshments when required).
- Maintain office noticeboards and update internal communication channels.
- Support staff with administrative queries and workflows.
Record Keeping & Compliance
- Maintain accurate visitor logs and reception records.
- Ensure company confidentiality and data protection procedures are followed.
- Support in maintaining basic compliance documentation if required (e.g., attendance registers, delivery logs).
